Facilitated exercise where participants map their most important and most painful workflows. Using structured canvas templates, each team documents the steps, decision points, data inputs, and handoffs in 3 to 5 core processes. The core working session. Participants split into small groups, each taking one high-potential process area identified in the morning. Using a structured use case canvas, each group defines the problem precisely, identifies the data required, proposes an AI approach, and estimates the business impact. Our facilitators rotate across groups providing technical input and keeping the work grounded in what is actually buildable.

Each group presents their use case canvas to the full room. Our facilitators provide live feasibility feedback on each idea: data readiness, technical complexity, integration requirements, and indicative effort. The room asks questions and challenges assumptions. This is where ideas get stress-tested before anyone commits to them.

Prioritisation Matrix Group Exercise 60 min

The full group scores each use case across two dimensions: business impact and implementation effort. Results are plotted on a shared matrix to distinguish quick wins from longer strategic bets. The group debates the rankings, resolves any disagreements, and reaches a room-wide consensus on the order of priority. Ownership is assigned for each top-ranked idea before the session ends.

90-Day Action Plan and Close Debrief 30 min

We translate the top priorities into a concrete 90-day plan: the first three actions for each quick win, the preparation required before any longer project can begin, and the internal dependencies that need to be resolved. No. These workshops are designed for business people, not technical specialists. Our facilitators handle all translation between business problems and AI possibilities. The most valuable people in the room are those who know the business well, whatever their technical background.
In-person sessions produce stronger results because the collaborative exercises and group dynamics work better in a room. That said, we do offer remote delivery for teams that cannot bring everyone together physically. Remote sessions are structured slightly differently to maintain energy and engagement throughout the day.
Before every workshop, we conduct a pre-session briefing with the organiser to understand your industry, the key processes your team works with, and any specific challenges you want the day to address. The examples we use, the exercises we run, and the use case prompts we provide are all built around your context, not generic templates.
Both formats are capped at 10 participants. This keeps the session focused and ensures every person in the room has time to contribute meaningfully to the use case work. A mix of decision-makers and operational staff tends to produce the richest results, as strategic perspective combines with on-the-ground process knowledge. We advise on the ideal composition during your planning call.
